How to choose law firm software in Ghana: a practical buyer’s guide
Practice management software touches everything a firm does, so the wrong choice is expensive to undo. This guide gives you the questions that matter for a Ghanaian practice, a scorecard to compare vendors, and a plan for switching without losing a single file.
What should a Ghanaian law firm look for in practice management software?
Start with your biggest problems, then check Ghana-specific needs: cedi billing and mobile money, controls for clients’ money, blocks on e-signing documents excluded by Act 772, remote AML due diligence, clear answers on data protection under Act 843, Ghanaian legal research, and payroll with PAYE and SSNIT.
Start with the problems, not the features
Before you look at any product, write down what actually goes wrong today. Typical answers from Ghanaian firms:
- Court dates and deadlines live in one person’s diary
- Time is reconstructed at month-end, and much of it is lost
- Nobody can say instantly what the firm holds for a client
- Documents are spread across email, laptops and shared drives
- KYC evidence is in a drawer, or nowhere
- Partners can’t see who is overloaded and who has capacity
Rank these by cost and risk. Your shortlist should fix the top three convincingly.
What are the Ghana-specific must-haves?
| Requirement | What to ask the vendor |
|---|---|
| Cedi billing | Can we invoice in GHS and take payment by mobile money and card into our own accounts? |
| Clients’ money | Is there a ledger per client that refuses overdrawn balances and requires two approvers? See client trust accounts. |
| E-signature exclusions | Does the system stop wills, powers of attorney, land conveyances and affidavits being e-signed, as Act 772 section 4 requires? |
| AML due diligence | Can we verify clients and companies remotely and keep the evidence, as Act 1044 expects? |
| Data protection | Where is our data stored, who can access it, and how does the vendor support our duties under Act 843? |
| Local research | Can we search Ghanaian legislation and judgments from inside the system? |
| Payroll and HR | Does it handle PAYE and SSNIT, or will we need a separate system? |
| Connectivity | What still works when the internet drops, at court or on the road? |
What security questions should you ask vendors?
- Where exactly is our data stored, and with which providers?
- Is each firm’s data isolated, and how is that enforced?
- Is access controlled by role on the server, not just hidden in the app?
- Is there an audit trail, and can it be altered?
- Is data encrypted in transit, at rest and on staff devices?
- Which certifications do you hold, and can we see them? (Be wary of badges without certificates.)
- What happens to our data if we leave?
How much does law firm software cost?
Most legal software is priced per user per month. Compare the total cost: which roles need paid seats, which features are add-ons (video meetings, AI, e-signatures), whether AI usage is capped, and whether training and data migration are included. Ask for the price in cedis to avoid exchange-rate surprises.
A vendor scorecard
| Area | Weight | What “5” looks like |
|---|---|---|
| Fixes our top three problems | 30% | Demonstrated with our scenarios, not slides |
| Ghana fit | 20% | Cedis, Act 772 rules, AML, PAYE/SSNIT, local research |
| Security & data protection | 20% | Clear answers, isolation, audit trails, encryption |
| Ease of use | 15% | Clerks and partners can use it after one session |
| Total cost | 10% | Transparent per-seat pricing in GHS |
| Support & migration | 5% | Named contact, a migration plan, local hours |
How do you switch without losing a file?
- Start with live matters. Move active matters and their key documents first; archive the rest in place.
- Connect, don’t copy. If your files are in SharePoint, Google Drive or an office server, connect them and import as you go rather than migrating everything at once.
- Run one department first. Pilot with one team for two to four weeks, fix the rough edges, then roll out.
- Turn on controls early. Conflict checks, KYC and client-money approvals deliver value from day one. Don’t leave them for “phase two”.

Frequently asked questions
What is legal practice management software?
Software that runs a law firm’s operations in one place: matters, deadlines, documents, time and billing, clients’ money, client due diligence and reporting.
How long does it take to switch?
With a pilot team and a matter-by-matter approach, many firms are working in a new system within weeks. Connecting existing drives avoids a big-bang migration.
Should a small firm buy practice management software?
Often, yes. Small firms feel lost time and missed deadlines most. Look for per-user pricing and the ability to switch on only what you need.
