PracticeBilling & client accounts

Bill every hour. Protect every cedi.

Capture time, invoice in cedis, get paid online into your own accounts, and keep clients’ money in a ledger that can’t move without the right approvals.

From time to cash

Approved time becomes an invoice in a few clicks.

Lawyers start a timer or log time against the matter. Finance or the managing partner approves entries before they’re billed, and each entry keeps the rate that applied when the work was done, so a later rate change never rewrites history. Finance can correct pay on unpaid entries, with the reason recorded.

Built to the standard

Built for how Ghanaian clients pay

Invoices in GHS, paid by mobile money, card or transfer, straight to the firm.

Your own gateway

Connect the firm’s Paystack, Hubtel, Stripe or Flutterwave account.

Mobile money

Clients pay from their phone wherever the gateway supports it.

Auto-reconciled

Payments match back to the invoice they settle.

Encrypted keys

Gateway keys are sealed with AES-256-GCM and bound to the firm.

Client accounts

Client money that can’t go negative or move alone

Every client-money movement is written to an append-only, hash-chained ledger, so entries can’t be silently edited after the fact. The controls are enforced by the system, not left to habit.

  • Two approvers above GHS 5,000 by default (your firm sets the threshold)
  • Balances can never go below zero
  • Deposits wait as pending until approved
  • No movement until client due diligence is approved

Invoices

Professional invoices from the matter

Raise invoices from approved time, fixed fees or retainers, with disbursements listed separately. Firms can require a signed engagement letter before any invoice is issued, and clients pay from the client portal.

Performance

Billable targets and utilisation, without spreadsheets

Set monthly billable targets per lawyer and see utilisation, revenue and collections by lawyer and practice area. Each person sees their own numbers; the managing partner sees the firm.

In short

What is trust accounting for law firms?

Trust accounting is how a law firm records and controls money it holds for clients (retainers, deposits and settlement funds) separately from its own money. Each client has a ledger, balances can never go negative, withdrawals need approval, and the records must show at any moment exactly what the firm holds for whom.

FAQ

Does Asem hold client money?

No. Payments go to accounts your firm owns: its operating account, or its client account or a Paystack trust subaccount for deposits. Asem records and controls the movements.

Which payment methods can clients use?

Whatever your firm’s gateway supports. In Ghana that typically includes cards and mobile money.

Can we change the dual-approval threshold?

Yes. Two approvers are required above GHS 5,000 by default, and your firm can set its own threshold.
